You’ve set up your business and made some sales – now you need to invoice and get paid. Here’s what to include on your invoices to get paid faster.
1. Make it look professional
Add your logo and use fonts, styling and colours that complement your brand. Modern accounting software lets you set up templates so you don’t reinvent the wheel each time.
2. Label your invoice clearly
Display the word ‘invoice’ (or ‘tax invoice’ if relevant) clearly at the top, with a unique identification number for your records so there are no duplicates.
3. Add company information
Include your company name, address and contact details, plus your customer’s name and address (and a contact name if invoicing another business).
4. Describe the products or services clearly
The description doesn’t have to be long, but detailed enough for the client to know what they’re paying for, along with quantity and price.
5. Add important dates
Include both the supply date (when you provided the product or service) and the invoice date.
6. Add up the costs
Show the cost of each item and the total amount payable. Clearly indicate any discount or promotion, and include GST where applicable.
7. Indicate payment terms
Note the payment terms – when you expect to be paid and exactly how, including your bank details or other payment information.
8. Add payment options
Online invoices let you add a ‘Pay Now’ button so customers can pay immediately by card or via services like PayPal or Stripe – proven to speed up payment. If you have any questions, get in touch.
